With the right setup, your finance team can prioritize collections, reduce aging balances, and improve DSO.

Steps to Monitor Top Delinquent Accounts

Step 1: Use the A/R Aging Summary Report

To begin, navigate to Reports > Customers > A/R Aging > Summary.
This standard report provides a breakdown of your accounts receivable by aging category, including 1–30, 31–60, 61–90, and 90+ days.

Look for customers with large outstanding balances in the later buckets—these are your most delinquent accounts. You can sort by overdue balance and even schedule this report to run weekly for consistent tracking.

Step 2: Review Customer Dashboards

Navigate to Lists > Relationships > Customers, then click the Dashboard icon next to any customer name.

Each dashboard displays overdue balances, the average number of days to payment, and the typical duration of payment delays. If you're using consolidated payments, you can also view balances across parent-child customer hierarchies.

This offers a detailed, account-level view to support follow-up conversations and collection strategies.

Step 3: Set Up Notifications for Overdue Invoices

Create saved searches with filters such as Status = Open and Due Date < Today - X days, and configure email alerts to notify your team when an invoice crosses a delinquency threshold.

These alerts ensure your collectors never miss critical follow-up windows.

Step 4: Track Days Sales Outstanding (DSO)

Go to Reports > Financial > DSO Analysis Report to measure how long it takes customers to pay, on average.

A rising DSO signals potential collection issues. Monitoring this regularly allows you to make data-backed adjustments to payment terms or escalate recovery efforts as needed.

Step 5: Use Workflow Automation

NetSuite’s workflow engine allows you to automate actions like sending overdue notices or creating follow-up tasks. Navigate to Customization > Workflow > Workflows > New to build triggers based on invoice age, customer segment, or overdue amount.
