How to Set Up Email Domains and Signatures in NetSuite

Steps to Set Up Email Domains and Signatures 

Step 1: Configure Email Domains (DKIM)

  • Navigate to Setup > Company > Email > Email Preferences

  • Go to the Email Domains (DKIM) subtab and enter your branded domain or subdomain in the Domain Name field

  • Click Verify DNS Entry to start the verification process

  • NetSuite will provide CNAME records to be added to your domain provider’s DNS settings

  • Once added, send a test message to a DKIM reflector address to confirm the setup

  • This enables DKIM authentication, allowing recipient servers to confirm your emails are from a legitimate source

Step 2: Customize Email Preferences and Signatures

  • Go to Home > Set Preferences > User Profile

  • In the Signature field, enter your preferred email signature using HTML formatting

  • Include branded elements such as company logo, tagline, and contact information

  • In the From Email Address field, specify the desired branded sender address (optional—defaults to login email if left blank)

  • While creating Email Templates, select your configured email domain to replace NetSuite’s default domain

Step 3: Maintain Consistency Across Templates and Users

  • Standardize email templates across teams to maintain uniform tone and branding

  • Share signature templates for users to paste into their preferences for consistent external communication

  • Regularly review and update templates and signatures to align with current branding guidelines
